What is the AirwayZ Education System?

The AirwayZ Education System is an automated patient education workflow designed to prepare patients before they arrive for a consultation. Whether the visit involves airway, TMJ, sleep, pain, orthodontics, or related concerns, patients receive a secure educational video before their appointment.

Instead of repeating the same foundational explanation at every visit, your practice sends it ahead of time. Patients arrive already understanding how breathing, sleep, jaw function, pain, posture, and whole-body health are connected. The result is a more focused consultation, a better-prepared patient, and less repetitive explanation for the provider and team.

How does the system work?

Once your practice is set up, the process is simple. Your front desk enters the patient's name, email address, appointment date and time, and provider name. AirwayZ handles the rest automatically: it sends the patient a secure video link, offers the optional questionnaire, sends reminders if the video has not been watched, and provides a fresh viewing opportunity closer to the appointment if the patient booked far in advance.

Before the visit, your team can see whether the patient watched the video, whether they completed the questionnaire, and what questions or concerns they shared.

Is this only for dentists?

No. AirwayZ is designed around interdisciplinary airway-centered care. The system is well-suited for providers in TMJ disorders, sleep-related breathing disorders, orthodontics, craniofacial pain, myofunctional therapy, ENT, pediatric airway, physical therapy, and whole-body functional care. The common thread is a provider who understands the airway connection and wants patients to arrive better prepared.

Can the video support both sleep and pain patients?

Yes. The video helps patients understand that breathing, sleep, jaw function, pain, posture, stress physiology, and whole-body health are connected. Some patients arrive with sleep concerns; others arrive with jaw pain, headaches, facial pain, clenching, grinding, fatigue, or unexplained symptoms. The video connects those dots before the consultation begins.

Does AirwayZ replace the doctor's consultation?

No. AirwayZ prepares the patient so the provider can use the consultation more effectively. The video gives the patient a foundation. The provider still evaluates the individual case, explains what applies, determines next steps, and recommends the appropriate treatment or referral path. The video helps the patient understand the field. The doctor still calls the play.

Does the video tell patients which specialist to see first?

No. The video explains that airway-centered care may involve more than one provider and that the right treatment path depends on the individual. The provider remains the quarterback.

Can patients access the video directly on the public website?

No. The flagship patient education video is not publicly available. It is delivered through participating providers as part of the AirwayZ Education System. This keeps the patient experience connected to the provider who will guide the next step, and protects the clinical value of the system for the practice.

Can we use the system with referral partners?

Yes. Many providers use AirwayZ as a bridge to help local colleagues understand the airway connection — ENTs, pediatricians, orthodontists, sleep physicians, myofunctional therapists, physical therapists, and other interdisciplinary partners. Instead of trying to explain the entire airway story from scratch, AirwayZ gives you a professional educational tool that creates the "aha" moment more efficiently.

Can we show the video at a conference or lecture?

Absolutely — and we love that you're thinking this way. Sharing airway education with colleagues at conferences, study clubs, and lectures is exactly the kind of reach that moves the field forward.

Because the video is proprietary content, any screening or presentation outside your practice is something we coordinate together. Is AirwayZ HIPAA-compliant?

AirwayZ is designed with privacy and secure patient communication in mind. Participating providers execute a Business Associate Agreement (BAA) as part of onboarding, governing how patient information is handled within the system. During setup, your practice will receive specific instructions for how patient data is entered, delivered, and managed.

What happens to our patient data if we cancel?

Following cancellation, providers have 14 days to submit a written request for a data export of questionnaire and patient engagement records. AirwayZ will fulfill that request within the window. After 14 days, data is deleted or de-identified within 60 days. We recommend downloading and importing questionnaire responses into your EHR regularly during your subscription so you are never dependent on the system as a primary record.

Is there a long-term contract?

No. The subscription is month-to-month. You may cancel at any time with written notice, effective at the end of the current billing period. The one-time onboarding fee is non-refundable, and no refunds are issued for prepaid subscription months.

What is the return on investment?

For most practices, saving even 15 minutes per consultation creates meaningful value quickly. If that recovered time allows the practice to see additional consultations or improve case readiness, the system can pay for itself within a matter of weeks. Beyond time savings, providers consistently report better-prepared patients, stronger case acceptance conversations, and a smoother consultation experience for both patient and provider.

Is this just a video?

No. The video is the engine, but the Education System is the workflow around it: automated delivery, reminders, optional questionnaire, provider dashboard, patient tracking, practice-branded communication, staff scripts, and ongoing updates. The value is in preparing the patient before they arrive and making the consultation easier, more focused, and more productive.

For practices ready to get started

What happens after I sign up?

Onboarding follows a clear three-step sequence:

Payment — Your one-time fee is processed at checkout.

Agreement and BAA — Your Provider Agreement and Business Associate Agreement arrive promptly after payment is confirmed. These are executed electronically.

Onboarding form — Once agreements are complete, you receive the practice setup form. Submit your practice details and the AirwayZ team configures your account. Most practices are live and sending patient education shortly after.
What information do you need from us during onboarding?

The onboarding form covers: practice name as you want it displayed, address, phone number, website, logo, preferred brand colors if available, main provider name and credentials, provider headshot if desired, and contact information for billing, implementation, and front desk. You will also be asked for your preferred patient-facing terminology — whether your practice uses "consultation," "airway evaluation," "new patient visit," or another term. The goal is simply to make patient communication feel like it came from your practice.

How long does onboarding take?

Once payment, agreements, and your practice information are received, setup moves quickly. The main variable is how promptly your practice returns the onboarding form with your logo, branding, and contact details. Practices that move efficiently through setup are typically live within a few business days.

Can more than one provider in our practice use the system?

Yes. Each license seat is associated with one named licensed provider. Additional providers within the same practice can be added under a separate Order Form at a reduced one-time fee, with the same monthly subscription rate. Each provider receives their own dedicated seat; seats are not shared between clinicians.

When does billing begin?

The monthly subscription begins accruing on the effective date of your Order Form, regardless of where you are in the onboarding process. This is why we move through setup efficiently — the sooner your practice is live and sending patient education, the sooner the system is working for you.

Does this require EHR integration?

No. AirwayZ is designed to operate independently of your EHR. Your team enters patient information directly into AirwayZ, and AirwayZ manages the education workflow from there. Questionnaire responses can be downloaded or copied into your existing chart system so the information lives where it needs to live, without requiring a direct integration.

Can we use the AirwayZ name and logo on our website?

Yes. Active providers in good standing may identify their practice as an AirwayZ participant using the approved marks, in accordance with AirwayZ's brand guidelines. This license is in effect for the duration of your active subscription and ends when the agreement ends.

What if our provider leaves the practice?

Notify AirwayZ in writing as soon as possible. The practice may request a one-time reassignment of the license seat to a replacement provider, subject to approval and a reassignment fee. The subscription continues during any transition period. If no reassignment is completed within 30 days of the departure notice, AirwayZ may treat the seat as cancelled.

What is included in the monthly subscription?

The monthly subscription includes: unlimited patient video sends, automated patient reminders, the optional patient questionnaire, the provider dashboard, secure video hosting and delivery, practice-branded patient communication, Provider Locator Map placement, staff access, and ongoing system updates. For implementation and your team

What does our team actually have to do?

Very little. When scheduling the appropriate patient, the front desk enters four things into AirwayZ: the patient's name, email address, appointment date and time, and provider. That is the full step. AirwayZ handles everything else automatically.

Before each visit, the front desk can also check whether the patient watched the video. If they have not, your team can offer them the opportunity to watch it in the office before being called back.

Do my patients need to create an account or download anything?

No. Patients receive an email with a secure link. They click it, watch the video, and optionally complete the questionnaire. No account, no app, no download required. The experience is designed to have as little friction as possible.

What should we say to the patient when scheduling?

Your team can absolutely make the wording their own — but if it's helpful, here is a script we have found works well:

"Now that you're scheduled, you'll receive an email from us with two important things. The first is a short educational video Dr. [Name] would like you to watch before your visit. Even if you don't think airway or sleep issues apply to you, we still encourage you to watch it — many patients find it helps them connect important dots before the consultation. The second is an optional questionnaire, in case the video brings up any questions or observations you'd like Dr. [Name] to know ahead of time."
What if the patient books far in advance?

AirwayZ accounts for this automatically. If a patient books well in advance, the system sends a fresh video link closer to the appointment date so the material is recent and relevant when they arrive. Your team does not need to manage this manually.

Is the questionnaire required?

No. The questionnaire is optional for patients, but it tends to be highly valuable. After watching the video, patients often suddenly remember things they left off their health history — childhood bedwetting, ear tubes, chronic mouth breathing, snoring, reflux, or being told they would "grow out of it." They did not mention these because they did not realize they were relevant. The questionnaire captures those realizations while they are fresh and routes the responses directly to the provider dashboard.

Where do the questionnaire responses go?

Responses are routed to the provider dashboard. Your team or provider can review them before the visit. Responses can also be downloaded as a PDF and added to the patient's existing chart record.

What does the provider dashboard show?

The dashboard gives the provider a pre-visit snapshot for each patient: name, appointment date and time, whether the video was watched, whether the questionnaire was completed, and the patient's responses and questions. The goal is for the provider to walk into the consultation already knowing what the patient watched, what surprised them, and what they want to discuss.

What if the patient does not watch the video before the visit?

AirwayZ sends reminders automatically. If the patient still has not watched before the visit, your front desk can offer the video in the office before the consultation begins. Even a last-minute viewing is helpful — it gives the patient a foundation before the provider begins discussing diagnosis and treatment direction.

Can we send the video to unlimited patients?

Yes. The monthly subscription includes unlimited patient video sends for your practice. There is no per-patient fee.

Can our practice customize the patient message?

Yes. During onboarding, your practice provides preferred wording for patient-facing communication. AirwayZ has default language that works well out of the box, and small adjustments can be made so the message feels natural for your practice and patient population.

Does this help with staff training?

Yes. New team members can watch the same foundational explanation patients receive, which helps them get up to speed on the clinical rationale behind the practice's approach. Existing team members often gain renewed appreciation for the importance of what they have been explaining all along.

What does our provider need to know?

The provider needs three things: how to check the dashboard before a consultation, how to use patient questionnaire responses to focus the conversation, and how to connect the video content to the clinical discussion. The AirwayZ onboarding materials cover all of this, and the dashboard is designed to make the pre-visit review quick and intuitive.
